How to run an AGM or general body meeting with voting
Send the notice and track acknowledgements, see quorum live (in person, online, proxy), record proxies and questions, vote on each resolution (show of hands, e-vote, secret ballot, or weighted by share), approve minutes and track action items.
Who can do this: Managing-committee members and ApnaGhar admins.
Steps
Step by step
- Open the meeting from ApnaGhar → Meetings and go to the AGM section.
- Send the notice; acknowledgements are tracked.
- On the day, watch quorum as members check in by venue code or online.
- Open voting for each resolution in the chosen mode and close it to record the result.
- Approve the minutes and assign action items.
Tips
- Statutory periods and due dates are settings in Bebaak, not hard-coded law — they are configurable; verify them with your bye-laws / the Act (or your CS / CA) before relying on them. Defaults: 14 clear days' notice, AGM within 6 months; proxies off for CGHS.
- Secret ballots carry no member name. Minutes approval is through Bebaak approvals — there is no DSC or Aadhaar e-sign.
